CEO Hub .App ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our application and services (collectively, the "Services").

  • Contact Data: Information about your professional contacts that you manually enter, import, or generate through our AI tools. This may include names, emails, company information, notes, and other details. You are responsible for ensuring you have the right to provide this data.
  • Derivative Data: Information our servers automatically collect when you access the Services, such as your IP address, your browser type, your operating system, your access times, and the pages you have viewed directly before and after accessing the Services.
  • Data from AI Features: When you use our AI features, such as the Business Card Scanner or AI Research, we process the data you provide to enable the feature. Uploaded files are temporarily processed and not stored long-term.

2. How We Use Your Information & Data Sent to AI Services

Having accurate information about you permits us to provide you with a smooth, efficient, and customized experience. To provide our intelligent features, we send specific data to our AI sub-processors (Google). You control when this data is sent by choosing to use an AI feature. Below is a list of what data is sent for each feature:

  • AI Research & Latest News: We send the contact's name and company name.
  • AI Notes Summarization: We send the text of the notes you have written for a contact. You can choose to also include the contact's details (name, company) and a list of past interactions to improve the summary's context.
  • AI Business Card Scanner: We send the image of the business card you upload.
  • AI Event Attendee Scanner: We send the document (image, PDF, etc.) you upload, along with your stated networking goal to help generate talking points.

In addition to powering AI features, we may use information collected about you to:

  • Create and manage your account.
  • Provide the Services and its features to you.
  • Email you regarding your account or order.
  • Improve our Services and user experience.
  • Monitor and analyze usage and trends to improve your experience with the Services.
  • Notify you of updates to the Services.
  • Respond to customer service requests.

3. Disclosure of Your Information and AI Service Tiers

We do not share your personal information with third parties except as described in this Privacy Policy. We may share information we have collected about you in certain situations:

  • By Law or to Protect Rights: If we believe the release of information about you is necessary to respond to legal process, to investigate or remedy potential violations of our policies, or to protect the rights, property, and safety of others, we may share your information as permitted or required by any applicable law, rule, or regulation.
  • Third-Party Service Providers: We may share your information with third parties that perform services for us or on our behalf, including data analysis, hosting services, and customer service. Our AI features are powered by Google's AI models. The data handling policies depend on your subscription plan:
    • Free & Trial Plans: Use Google's standard AI services. Data may be used for service improvement as per Google's standard data policies. We recommend not using sensitive personal data on these plans.
    • Pro & Business Plans: Use Google's enterprise-grade Vertex AI services. For these plans, Google contractually agrees not to use your data to train or improve their models.
  • Interactions within Your Company: Your information (such as name and role) is visible to other users within your company's workspace for collaboration. If you are an Executive who delegates access to an Assistant, that Assistant will be able to view and manage your contacts, including private ones, on your behalf.
  • Business Transfers: We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

4. Security of Your Information

We use administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.

5. Your Rights & Choices

Depending on your location, you may have the following rights regarding your personal data:

  • The right to access – You have the right to request copies of your personal data.
  • The right to rectification – You have the right to request that we correct any information you believe is inaccurate.
  • The right to erasure – You have the right to request that we erase your personal data, under certain conditions.

Users on our "Free" plan have the ability to opt-out of using Core AI features via a toggle in their User Settings. This provides direct control over whether their data is sent to the Standard AI Services.
